Administrative Assistant

A South Davis County company that provides business management and office support services to a diverse group of companies seeks several administrative assistants to start immediately.
There are full-time and part-time positions open; normal business hours are Monday to Friday from 09:00 to 17:00. Some overtime may occasionally be available. Work will take place at the company's offices in Centerville and Bountiful.
Individuals in these positions will have strong phone skills, excellent organization habits, and impeccable spoken & written communication. These individuals will manage production and handling of documents, some of which are highly sensitive; implement archiving structures and practices; assist with data entry; and carry out a wide and ever-changing range of other duties to assist principals.
The hiring entity has a policy of compensating generously. Benefits are available. No recruiters/agencies, please.
Specific duties include:
-Assisting in preparation of correspondence
-Scheduling for principals
-Structuring and organizing file system
-Filing documents and materials and retrieving things from the files
-Direct contact with clients and service providers
-Assisting principals with research (pricing, travel, general)
-Assisting with meeting and event planning
-Taking minutes during meetings
-Some positions may include supervising Office Assistants
-Maintaining an inventory of essential supplies; other office management tasks as directed
-Worksite scheduling
-Phone and office reception duties as needed
-Data entry in QuickBooks or other accounting/bookkeeping software
-All other duties and assignments as directed

Required education and
Experience:
-Associate's degree or equivalent (Business or Accounting preferred)
-Bachelor's degree (in any field) strongly preferred
-Minimum approx. two years of experience (legal secretary, executive secretary, or construction industry experience preferred)

-Willingness to learn new skills
-Ability to stay organized and on-task in a flexible, dynamic, multi-cultural/multi-lingual work environment
-Event planning experience
-Familiarity with real estate transactions and/or trading/financial markets
-Research experience
-Foreign language experience/Multi-lingual
-Construction industry experience

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
